Share resources seamlessly, ensuring access to the right content.
Sharing resources in Workbase is straightforward and flexible, enabling you to collaborate and distribute content to specific teams, roles, or the entire organization. Workbase’s granular sharing system allows you to manage access on multiple levels, ensuring that users only see what they are supposed to see, providing both security and efficiency.
Locate the Share Button:
After creating and editing a resource, find the Share button in the top-right corner of the resource page.
Select Recipients:
Choose from multiple sharing levels, including:
Specific Departments
Individual Roles
Particular Users
Entire Organization
Set Access Levels:
Decide if they can view, edit, or manage the resource.
Special Sharing Options
Some resource types come with additional sharing settings:
Trainings:
Use the Required toggle to mandate training completion for selected users.
Pages:
Enable the Public option to make the page accessible to anyone with the link, even outside the organization.
Leveraging Granular Sharing
Workbase’s granular sharing system empowers administrators to:
Tailor Visibility: Limit access to only those users who need the resource, avoiding unnecessary clutter and ensuring compliance.
Customize Permissions: Assign edit or view-only permissions to roles, individuals, or teams to control collaboration scope.
Dynamic Adjustments: Update sharing settings as teams or projects evolve, ensuring alignment with organizational needs.
Making Resources Organization-Wide
For resources intended for all employees, select the Everyone in the Organization option under the sharing settings. This ensures universal visibility and access.
Editing and Updating Shared Resources
When you update a shared resource, changes are reflected instantly for all recipients. This real-time synchronization ensures everyone has access to the latest version.
